Key purpose

To carry out general duties in support of dans.

 

Structure and reporting relationship

The jobholder has direct contact with other staff within the dans organisation and Dubai Airport.

The jobholder works within the established policies and procedures within dans.

They are expected to be self-managing within the confines of the above and can organise their work whilst meeting all specified deadlines.

Key accountabilities

Key  Responsibilities

Provision of general clerical assistance when required

Assist with photocopying, booklet production, binding, laminating, scanning, shredding, archiving and other similar activities

Assist in keeping store items correctly stocked

Delivery and collection of equipment, stationery, documents, mail, parcels or other such items

Pick up supplies or stores when required

Convey mail from airside to landside on a regular basis

Assist office staff with relocating or moving equipment and furniture when required

Meeting room preparation – ensuring meeting rooms are fit for purpose, correct layout, all equipment is available, required/requested supplies are provided

Housekeeping of pantry, i.e. ensuring cleanliness, availability of supplies, etc

Housekeeping of reception area, newspapers/magazines neat and in date, blinds are tidy, etc

Assist with other administrative and general duties as directed by the Administration Manager

 

Driving Responsibilities:

Ensure the vehicles are serviced at all times and report any faults or accidents to the Admin. Coordinator in charge.

Transport employees and visitors to locations as requested.

Ensure vehicles have sufficient fuel for the day’s operation and that all log book entries are completed.

Daily check of vehicles with MT Section.

Fix chocks and safety cones as required by airport instructions.

Enter details of all trips in the respective logbook.

 

Essential technical and professional skills , knowledge and qualifications

Knowledge of other functions/groups within the organisation.

Knowledge of departmental and governmental policies and procedures/processes.

Knowledge of Dubai Airports policies and procedures/processes.

Health and safety knowledge.

Understanding and maintaining high standards of personal cleanliness.

The job holder should have completed secondary education.

Ability to prioritise tasks against agreed criteria

Arabic language skills would be an advantage.

Fluency in written and spoken English

Ability to follow verbal, written and colour coded instructions.

The jobholder will undergo training and testing to acquire their airport driving permit.

A Minimum of 3 working years in a similar role in the UAE

A valid U.A.E’s driving license for light vehicles is essential.
