We are looking for an experienced Personal Assistant/ Administrator to be based in Dubai, United Arab Emirates.

Job Overview

 

Under the direct supervision of the Director, the position provides highly efficient and effective administrative assistance of the director’s office.  Receives and transmits documents or administrative information in the department and within the company in general

  • Reports to: Director

Responsibilities

  • Participates in implementing of department functions, policies, procedures as per key performance indicators (KPIs) to ensure that department meets its strategic goals and objectives and achieves highest level of performance
  • Together with the team, delivers competitive advantage and the right level of strategy that carries key results areas towards successful implementation of its objectives
  • Administers inbound and outbound phone calls, email messages, and sending information through fax machines ensuring that all necessary information required by clients are properly organized and disseminated
  • Attends to customers’ calls or inquiries pertaining to licensing services, commercial registration system, procedures, rules and regulations, ensuring delivery of reliable information and solution-requirements for internal and external customers
  • Enhances and sustains delivery of customer service excellence, through friendly-and-personalized call center services with clientele, government or non-government bodies to ensure accurate reflection of the company’s corporate business environment
  • Suggests recommendations for the improvement and continuous upgrading of existing administrative procedures.
  • Exerts efforts to raise the administrative support services profile through continuous improvement and development of innovative delivery of services to its internal and external stakeholders
  • Delivers effective and collegial working environment along with other employees and the external stakeholders.
  • Exerts full support and cooperation to team members toward effective and collegial working environment for team members, other employees and the external customers – entities, maritime consultants/advisors, contractors, and local and international organizations
  • Assists in the delivery of commercial registration-related revenue projects, to ensure the company’s realization of its commitment towards the Emirate of Dubai
  • Show “best practice” in administering business support services and customer service management
  • Cost-effective business support services and maximum efficiency on over-all business support operations
  • Coordination with various internal & external government/private authorities, locally & internationally
  • Technical authority on various aspects of administration
  • Implementation of key program indicators (KPIs), key result areas (KRAs), policies and procedures, goals and objectives.
  • Cost-effective delivery of CR program of activities in alignment with overall goals and objectives
  • Accurate and timely delivery of government service excellence
  • Compliance to Government Excellence mandate, the Code of Conduct
  • Support the UAE Nationals in their role towards “best-practice”

Essential Requirements

  • Bachelor’s Degree
  • 2 – 4 yrs related experience in PA roles
  • Ideally experience in call centers
  • Experience in technical and user-related aspects of a personal computer environment
  • Excellent administration of inbound and outbound call center services
  • Proficiency in Switch Board operation

Salary/Compensation

  • Salary to be used as a guide only and will reflect experience levels and interview performance
  • Salary as guide is in between 9.3k – 12k AED per month total package
  • Medical for self and family (max 3 children)
  • Annual Ticket for Self only 22 Working Days Holiday + Overtime can be claimed as per the company policy
